Session Override feature

In this guide, I will demonstrate how to modify the maximum headcount numbers in the middle of a group of sessions. Unlike Sitebuilder One, this is now possible with Sitebuilder Two. This was a popular request from clients, and we are glad to have implemented this new feature.

To begin, ensure that you are logged into the online admin area.

Next, navigate to the Config tab using the menu on the left-hand side. Then select the ‘Admission/Events’ tab.

After navigating to the ‘Admission/Events’ tab, you will be directed to the ‘Events’ page, where all the events are listed.

From there, select the event you wish to override a session for.

For this demonstration, let’s assume you want to override a session for your pumpkin event.

 

After selecting the event you wish to override a session for, you will be directed to the event editing window. Scroll down to the ‘Sessions’ section and select the session you want to modify.

For this demonstration, let’s assume you want to edit the session on October 30th at 14:00.

Once you have selected the session, you can modify the maximum headcount by decreasing it to 10. Before making any changes, it’s advisable to check how the session appears on the front-end ticketing website.

 

You can see that this session has a maximum headcount of 20. I am going to reduce it to 10.

First, select the session for October 30th at 2:00 PM.

 

After selecting the session you wish to modify, you will be directed to the ‘Edit Session’ window. You can verify that you have selected the correct session by checking the details.

 

Scroll down to the ‘Session Override’ area and click the ‘+ Add’ button to open the ‘New Session Override’ window.

There are three fields that will need data. The checkbox is for, if you want to make that session unavailable.

  1. Override date from - Here, I will select October 30th.
  2. Override date to - Here, I will select the same date as I am only wanting to change the 30th.
  3. Maximum places - Here, I want to lower the headcount from twenty to ten. So, I will add 10 into this field.
  4. Yes, I want this session to be available so I will NOT check the checkbox.

Here is what my finished session override looks like. Remember to click the Save button to action the changes.

Now, before I look on the front-end ticketing website to make sure it has lowered the maximum headcount for October 30th at 2 PM, I am just going to scroll down on the session window and see if I can see the override line.

Please note that it shows the correct settings I wanted to apply.

Now, let’s check the front-end ticketing website as a final check.

 

You can see that the maximum headcount for October 30th at 2 PM has been lowered to 10. We have successfully changed a maximum headcount within a group of sessions without affecting any other headcounts.
